Executive Assistant
We are seeking a dynamic and highly organized ExecutiveAssistant to support an active entrepreneur, investor, and activist based in Weston, CT. This is a unique opportunity for someone who thrives in a high-paced environment and is ready to take on a pivotal role within our team.
Responsibilities
- Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements. Facilitate all meetings so they are seamless - including requesting agenda items from meeting attendees, sharing the agenda ahead of the meeting, arranging virtual and in-person meetings, setting up meetings and presentations, managing participants/timing of the meeting
- Track and manage ongoing business projects, ensuring deadlines are met and objectives are achieved.
- Liaise with internal and external stakeholders across owner’s professional interests to ensure seamless communication and coordination.
- Anticipate upcoming events and cyclical responsibilities for executive and family, monitor the team-wide calendar, and plan proactively for team needs aligned to those events
- Coordinate personal and business travel - inclusive of flights, cars, and accommodations
- Oversee and manage the financial reconciliation of all household and professional expenses, ensuring accuracy and organization, and provide comprehensive support during tax preparation and filing season.
- Assist with property management of houses, boats and cars
- Assist with personal projects on as needed basis, creating organized plans based on milestones and priorities and frequently updating
- Assist with event planning and logistics for meetings, conferences, and other gatherings.
- Occasional local errands
Skills
- Prior experience in private residences, hospitality, or family offices.
- Strong administrative skills with a track record of support
- A self-starter with an ability to navigate complex organizational structures, constantly meeting people across the company that help you solve problems, source answers, and anticipate needs
- Ability to multi-task a must
- Strong aptitude in software applications, particularly Google, Adobe, Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication skills, both verbal and written, with a professional demeanor.
- Uphold discretion, professionalism, and confidentiality at all times.
Schedule:
- This role is on-site in Weston, CT Monday-Friday. This is not a remote or hybrid position.
- Monday-Friday, 9:00AM - 6:00PM with occasional weekends/evenings support as needed.
