The Role: Office & Showroom Manager

HealthyBaby is seeking a highly organized, energized, and detail-oriented Office & Showroom Manager to oversee the administrative operations of our two locations. The Office & Showroom Manager will play a vital role in maintaining a productive and efficient work environment for employees and guests to our showroom and satellite office, located just down the street. The ideal candidate has excellent communication and interpersonal skills, is adept at multitasking, and can prioritize tasks effectively. As Office & Showroom Manager, you will ensure smooth day-to-day operations, manage inventory, coordinate meetings and events, and provide administrative support to various departments as needed. 

 

Responsibilities:  

  • Oversee daily office operations & maintenance at our two locations, including managing schedules, coordinating meetings, and maintaining office supplies.
  • Greet visitors, answer incoming calls, and direct inquiries to the appropriate departments
  • Manage and maintain office facilities, equipment, and supplies
  • Handle incoming and outgoing mail and packages, ensuring timely distribution.
  • Assist in the onboarding process of new employees, including preparing paperwork and coordinating orientations
  • Maintain and update employee records, including attendance, leave requests, and timesheets.
  • Personalize and hand pack influencer and VIP orders and coordinate shipping from our showroom 
  • Coordinate travel arrangements and accommodations for staff members as required.
  • Manage and maintain office budgets, expense reports, and financial records.
  • Assist with the preparation of reports, presentations, and other documents as needed.
  • Collaborate with department heads to ensure effective communication and coordination across the organization.
  • Implement and maintain office policies and procedures, ensuring compliance with company guidelines.
  • Serve as a point of contact for vendors, contractors, and other external parties, managing relationships and negotiating contracts as necessary.
  • Handle confidential and sensitive information with integrity and discretion
  • Assist as needed for a high growth startup environment. 

 

Qualifications:

  • Bachelor's degree 
  • Proven experience as an office manager or in a similar administrative role.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficient in using office software, including word processing, spreadsheets, and presentation tools.
  • Attention to detail and a high level of accuracy in work.
  • Ability to work independently as well as collaboratively within a team.
  • Exceptional interpersonal skills with the ability to build positive relationships with employees at all levels.
  • Problem-solving and decision-making abilities.
  • Knowledge of office management systems and procedures.
  • Familiarity with HR functions and basic accounting principles.
